  • Packaging: Utilize ISTA-approved packaging, including edge protection, moisture barriers, and shock indicators, for machinery and trade show exhibits. We provide specs and vendor coordination.
  • Insurance, carrier liability is limited; we place all-risk cargo insurance upon instruction, we declare correct values, and list special interest where needed.
  • Contract terms, embedded service levels, free-time targets, liability carve-outs, and photo documentation rules are mapped to each lane and carrier.
  • Data accuracy, as a single source of truth for HS codes, valuation, country of origin, and partner IDs, we maintain and update classification files upon regulatory changes.
  • Chain-of-custody logs, seal logs, handoff signatures, and photo sets at origin/loading and unloading are stored to support freight claims if needed.
  • Milestone tracking, EDI/API event capture (including departures, arrivals, and exceptions), we push alerts when ETA variance exceeds tolerance and act before dwell becomes demurrage.

Claims Handling (Our Process, Step By Step)

  • Notify & preserve; report exceptions upon receipt. Keep packaging and damaged goods for inspection. We file carrier notices within the required windows.
  • We assemble a complete claim packet, including documents, photos, tally sheets, delivery receipts (with noted exceptions), and weigh tickets, where applicable.
  • File & follow-through, submit to the liable carrier/insurer in accordance with the mode rules, track statutory/contractual timelines, and escalate when responses lag.
  • Recover & close, reconcile settlement vs. loss, issue credit notes where appropriate, and we retain evidence to support future prevention actions.

(Note: modal rules and deadlines differ — ocean bills, air waybills, road/rail waybills each dictate notice and filing periods. We apply the correct rule set for your shipment and flag deadlines on day one.)

How Do We Operate This for Canadian Shippers?

  • As a Canadian brokerage & compliance service, we lodge CBSA entries, manage partner IDs, and coordinate with your U.S. supplier’s paperwork when the U.S. administration changes tariff policy or permit scope.
  • With U.S. side clearances, we coordinate with our U.S. brokerage partner for CBP entries when your Incoterms or routing instructions require it, ensuring documents are synchronized both ways.
  • For trade shows and white-glove services, we crate, label, photograph, and document exhibits, and schedule room-of-choice/tailgate services. We then retain proofs to support any freight claims.
  • Dangerous goods, DG-certified staff review SDS and declarations before booking; we only move compliant DG under correct packing instructions.
  • What we don’t do, is handle personal effects and we do not offer LTL refrigerated service; when those requests arise, we provide alternate guidance.
  • Cut-offs & timing: we work within the cut-off windows published on your StraitLink booking confirmation. If a customs or carrier cut-off date advances, we adjust pick-up and filing to protect free time.

Your Action Checklist (Simple, Repeatable)

  • Send final documents early, including the commercial invoice, packing list, HS codes, origin proofs, and permits/licenses if required.
  • Confirm Incoterms and ensure that responsibilities for customs, insurance, and final-mile delivery are explicitly stated.
  • Label and photo, apply handling marks, and take load-out photos; share them with StraitLink before dispatch.
  • Declare the value & insurance: We encourage you to place all-risk cover where needed; confirm exclusions and deductibles.
  • Assign an on-call contact, designate who approves rework, inspections, or exam fees to avoid delays.
  • After delivery, inspect on receipt, note exceptions on the POD, and retain packaging for potential survey.
